Position Overview
We are seeking a detail-oriented and organized professional to manage a variety of administrative and follow-up tasks. This role requires strong multitasking abilities, excellent communication skills, and a proactive approach to ensure efficient workflow and timely completion of assignments.
Key Responsibilities:
- Managing Annual Reviews (50%): Coordinate and schedule annual reviews efficiently, optimizing calendars and meeting timelines. Prepare annual reviews with all required communication and information for seamless processing. Accurately document notes and dictations, maintaining clear and organized records. Assist in making market trades in a timely, accurate manner.
- Completing Follow-Up Forms/Tasks/Alerts (40%): Handle a high volume of follow-up activities, ensuring all forms and related tasks are accurately completed and submitted in a timely manner. Investigate and address alerts to ensure timely resolution and follow-through. Track submitted forms to confirm their status and ensure necessary follow-ups are completed.
- Marketing (10%): Help facilitate growth by assisting in marketing effort and prospect management. Manage the process of sending birthday/sympathy cards as needed, ensuring accuracy and timeliness. Provide timely feedback on improving processes for purposes of efficiency.
