We are seeking a positive, proactive and highly organized Administrative, Executive & Personal Assistant to support our COO & office staff with administrative, business, and personal tasks. This role requires discretion, efficiency, and a passion for managing various priorities.
Responsibilities:
- Position Overview: seeking a highly organized, professional, and proactive Administrative, Executive & Personal Assistant to support our executive team and manage various personal tasks
- The main function is to help plan, direct, coordinate and manage Accounts Payable, Accounts Receivable, HR
- The Assistant position will be responsible for managing a schedule, coordinating meetings, taking detailed notes, ensuring seamless communication and task execution, and overseeing personal and some household tasks as assigned
- Project Management: Plan, organize, and execute projects with minimal guidance
- Strategic alignment: Foster strong collaboration and maintain transparent communication with COO, Office Staff, Project Managers, to ensure alignment, consistency, and seamless execution daily
- Coordinate staff meetings, including setting agendas, identifying action items, and tracking deliverables
- Manages collections of past due receivables and provide reports on these to the COO
- Develops and maintains a good working rapport with office staff to meet & exceed the needs of the company
Qualifications:
- 2+ years experience as a personal assistant, executive assistant, or similar role
- Problem solving with a “get it done” & positive attitude
- Highly organized, attention to detail, and process-oriented with a sense of urgency to ensure tasks are completed thoroughly and correctly
- Good social etiquette, social skills and personnel management
- Candidate should be calm under pressure and capable of thinking on their feet in an active and fast-paced environment
- Strong proficiency in technology & software (Trello, google sheets & docs, Computer Ease, Email etc)
- Ability to handle the 'hands-on' day-to-day management of tasks, resolution of problems and issues, and experience in implementing action plans to meet objectives
- Maintaining confidentiality is a fundamental requirement of this role
- Exceptional organizational, communication, and time-management skills.
- The confidence to proactively jump in and own tasks
- Collaboration and teamwork to work effectively with team members and external partners
- Office management and service skills
