A manufacturing company is seeking Customer Service Representatives who will ensure timely, accurate, and efficient support for customers by managing spare parts and machine orders in a manufacturing environment. Additionally, you will serve as the primary point of contact for order inquiries, product availability, and delivery coordination, while collaborating with internal teams to maintain high levels of customer satisfaction and operational efficiency. Work hours are Monday through Friday from 8 a.m. to 5 p.m.


Job Responsibilities:

  • Receive, process, and track customer orders for spare parts and machines and verify order accuracy, pricing, and availability before confirmation
  • Coordinate with production and inventory teams to ensure timely fulfillment
  • Serve as the primary point of contact for customers regarding orders, product availability, lead times, and delivery schedules
  • Respond promptly to inquiries, complaints, or service requests, providing professional and accurate information
  • Provide updates to customers on order status and resolve issues proactively.
  • Monitor stock levels and communicate shortages or backorders to customers and internal teams
  • Maintain accurate records of orders, shipments, returns, and customer interactions in the system
  • Work closely with production, logistics, and shipping teams to coordinate order fulfillment and deliveries
  • Communicate special requirements or technical specifications to relevant departments
  • Investigate and resolve order discrepancies, shipment delays, or product defects and recommend process improvements to enhance customer experience and operational efficiency
  • Generate reports on order trends, customer inquiries, and fulfillment metrics and provide insights to management to support continuous improvement in customer service operations


Job Qualifications:

  • Must have a High School Diploma or GED; An Associate’s Degree in Business Administration, Communications, Supply Chain, or related field is preferred
  • Must have an understanding of the company’s products, spare parts, and technical specifications to provide accurate information and support
  • Must have knowledge of stock levels, lead times, and logistics processes to anticipate issues and communicate effectively with customers.
  • Must be proficient in ERP, CRM, or inventory management software to process and track orders accurately as well as accurately enter orders, updates, and customer information
  • Must be able to identify issues with orders, coordinate with technical teams for resolution, and maintain organized records and reports
  • The ability to prioritize tasks and orders to efficiently meet deadlines is mandatory, and adjust to changes
  • Must have strong organizational, problem-solving, and decision-making skills, as well as, the ability to communicate and listen
  • Must be able to build positive relationships, address complaints, and handle inquires with patience and empathy
  • Must be friendly, with a professional demeanor, a strong commitment to teamwork, and the ability to maintain confidentiality at all times
  • Minimal travel to other sites is required when needed
