We are seeking a Legal Secretary to become a part of our team! You will provide overall support to attorneys' business needs.
Responsibilities:
- Calendar and schedule management: Manage the attorney's calendar, schedule appointments and meetings, and coordinate important legal deadlines for filings, hearings, and depositions.
- Document preparation: Prepare file legal documents, correspondence, and forms based on verbal instructions or written notes from attorneys.
- Communication: Answer and direct phone calls, greet clients, and manage correspondence via email and mail. Serve as a primary point of contact for clients, attorneys and court staff.
- Case file management: Maintain, organize, and update physical and digital case files to ensure all documents are properly filed and easily accessible.
- Administrative duties: Handle general office tasks, such as copying, scanning, and delivering documents.
- Confidentiality: Handle sensitive legal and client information with a high degree of discretion and professionalism.
Skills and qualifications
- Computer proficiency: A strong command of office software is essential, particularly Microsoft Office Suite (Word, Excel, Outlook).
- Typing and transcription: Fast and accurate typing skills are necessary for transcribing dictated files and preparing documents.
- Organizational skills: The ability to effectively manage multiple cases, documents, and deadlines is critical in a busy law office.
- Attention to detail: Meticulous proofreading and editing skills are required to ensure the accuracy of all legal documents.
- Communication: Excellent written and verbal communication is needed to interact with clients, colleagues, and external parties professionally.
- Discretion: The ability to maintain strict confidentiality regarding all sensitive case and client information is a core requirement.
- Adaptability: The legal field is fast-paced and can involve shifting priorities and demanding deadlines. The ability to manage a varied workload is a must.
