Vehicle Check-In Specialist
Position Summary
The Vehicle Check-In Specialist is the first step in the vehicle reconditioning (recon) pipeline. This crucial role is responsible for the prompt and accurate check-in, initial inspection, and documentation of all newly acquired used vehicles. The specialist ensures that comprehensive data on the vehicle's condition and functionality is gathered and immediately entered, accelerating the time to market.
Essential Duties and Responsibilities
1. Vehicle Check-In and Inventory Control
- Key Retrieval: Retrieve keys from the secure drop box or designated area immediately upon notification of a vehicle's arrival.
- Key Audit: Document the exact number of keys received per vehicle (i.e., master key, valet key, fobs).
- VIN Verification: Verify the Vehicle Identification Number (VIN) stamped on the door jamb and the dashboard/window match the reconditioning software and the keytag.
- Initial Documentation: Tag the keys with the assigned Stock Number and update the Dealer Management System (DMS) with the accurate location and status.
2. Initial Vehicle Condition Assessment
- Mechanical Functionality: Conduct a test drive of the vehicle to confirm it is functioning as intended and complete the electronic checklist within the reconditioning software.
- Fuel/Battery: Note the current fuel level and fill if under 1⁄4 of a tank.
- Electric Car: Ensure the battery level is at an acceptable level (over 50% charged).
3. Reconditioning Coordination
- Defect Notation: Clearly and concisely notate all identified defects in the designated reconditioning tracking system. This notation directly informs the Shop Manager of required repairs.
- Routing: Park the vehicle in the oil change barn and update the reconditioning software to the current stage
Priority Communication: Report immediately to the Shop Manager any critical safety defects, arbitratable issues (cosmetic or mechanical defects or damage that may cost over $600.00) that would require immediate prioritization.
Qualifications

Experience: 1+ year of professional experience in an automotive service environment, lot operations, or logistics role is preferred.

Attention to Detail: Exceptional focus on detail is mandatory to accurately capture all cosmetic and functional defects.

Technical Skills: Proficient with handheld electronic devices (tablets/scanners) and comfortable learning and operating dealership management systems (DMS).

Licensing: Must possess a valid Driver's License and a clean driving record.
Physical Requirements: Ability to drive manual and automatic transmission vehicles. Must be able to stand, walk, and work outdoors in all types of weather for extended periods.
