DR Reception Administration Support Staff
Dayton REALTORS® is seeking an energetic and dynamic self-starter for a DR Reception Administration Support Staff to join our team. This includes greeting, answering phones, assisting clients, data entry, AR accounting functions, and light filing. The ideal candidate will deliver a professional and qualified first impression to all members. This person has excellent communication and customer service skills. He/she has a basic understanding of administrative and clerical procedures/systems and the ability to multitask.
Job Description:The DR Reception Administration Support Staff is a vital member of the team and is responsible for assuring superior customer service to all association members and successful operations of the front office. This position performs a wide variety of administrative support functions and makes certain phones are answered promptly and guests are greeted professionally, and their needs met. This person will act as the central point of contact for all association members, therefore, will play a primary role in promoting a professional image and valued reputation. This position will also include a variety of administrative tasks.
Job Responsibilities:
· Send out and receive email, documents, and packages. Distribute items to mailboxes and offices as requested.
· Process the daily over-the-counter payments, and sales.
· Updating members’ contact information.
· Compile suspend and expel letters and mail or email them and make the list of members who are past due including Affiliates, MLS, Commercial and Dues for Executive meeting and Board of Directors.
· Register members for classes or events.
· Backup for Director of Membership and other administrative person.
· Respond to all billing emails in billing folder.
· Order office supplies, binders, folders, pens, ink etc. when things are needed.
· Order supplies and postage when needed for the postage machine.
· Participate in Association events such as Holiday Reception, golf, picnic, etc., and check in members along with collection of money prepare deposits along with financial summary.
· Liaison and person in charge of the Picnic/ Fall Fest committee and Golf committee.
· End of the day make sure coffee pots, TV, and lights are off.
· File and keep good records. Data entry accurately and timely. Maintain an organized filing system. And other miscellaneous duties.
· Issue invoices and credits, and process write offs.
Backup for the following processes:
· Balance out the daily cash, checks and credit cards.
· Make out a deposit slip for the bank and verify.
· Run reports and create a folder for all the reports, daily cash receipts report and bank deposit slips.
· Create the daily receipt journal for the entire month and make sure the receipt journal matches the postings to accounts daily.
· Check and close all batches at the end of the month, check monthly receipt journal and make sure all the posting balance out with what is on the daily receipt journal for the month.
Job Requirements:
· 18 Years or Older.
· Average with Microsoft Office Suite.
· Ability to learn association management systems.
· Reliable, professional, courteous and patient.
· Good communication and writing skills.
· Very Confidential.
· Ability to keep busy during down times.
