Position Overview:
The Front Desk Coordinator is the first point of contact for our patients and plays a vital role in ensuring a smooth, welcoming, and efficient front office experience. This role requires a polished, professional, and personable individual who thrives in a fast-paced environment and is passionate about aesthetics and patient care.
Key Responsibilities:
- Greet and check in patients with warmth and professionalism
- Answer phones, schedule appointments, and manage calendars for providers
- Confirm appointments and assist with patient follow-up and reminders
- Maintain a clean, organized, and welcoming reception area
- Process payments, handle invoicing, and assist with point-of-sale transactions
- Educate patients on services, skincare products, promotions, and membership options
- Collaborate with the clinical and administrative team to ensure smooth daily operations
- Handle patient inquiries, concerns, and feedback in a courteous and timely manner
- Manage patient intake forms, medical records, and confidentiality standards
Qualifications:
- Previous front desk, receptionist, or customer service experience (medical spa or healthcare setting preferred)
- Strong communication, organizational, and multitasking skills
- Professional appearance and demeanor
- Proficient in scheduling software and basic computer systems
- Passion for aesthetics, skincare, and wellness
- Ability to remain calm under pressure and deliver exceptional service
