Duties for this position:
Answer all calls coming in for the office, directing calls to staff members that can assist the caller if cannot assist them directly.
Copy insurance/Medicaid cards and collect copays at time of visit 
Greet clients who attend services in person and complete necessary documentation with client.
Answer client questions, reschedule clients, take messages for clinical staff via phone.
Provide support to clinical staff by copying, faxing, scanning, and emailing materials.
Use agency electronic record to determine necessary copays and amounts due at time of visit. 
Enter notes in electronic record related to phone calls or client interactions.
This position is 40 hours weekly with two evenings a week until 8pm.
Qualifications for this position:
Previous doctor's office or mental health/substance abuse agency is preferred.
Excellent computer and typing skills including being proficient in Microsoft Office and scanning of documents.

The Dispensary Supervisor supports the day-to-day operations of an adult-use cannabis dispensary licensed under Ohio’s Division of Cannabis Control (DCC). This role ensures full compliance with state regulations, manages team performance, maintains secure handling and dispensing of cannabis products, and delivers an exceptional adult-use retail experience for customers 21 and older.

Duties &amp; Responsibilities:&nbsp;
Compliance &amp; Security:
<ul>
<li>Enforce all DCC regulations; customer age verification, purchase limits, advertising, signage, prohibited items).</li>
<li>Maintain 24/7 video surveillance, secure access points, alarm systems, and restricted area access.</li>
<li>Conduct daily inventory audits, loss prevention measures, and discrepancy reporting via Metrc.</li>
<li>Oversee customer access procedures, ensuring ID scans and age (21+) are verified at entry.</li>
<li>Maintain all necessary records: purchase transactions, destruction logs, employee certifications, and incident reports.</li>
</ul>

Team Management:
<ul>
<li>Lead, schedule, and supervise budtenders, receptionists, and floor staff across shifts.</li>
<li>Train new hires in DCC adult-use cannabis laws, customer service standards, and point-of-sale usage.</li>
<li>Hold the team accountable for SOPs, compliance behaviors, and accurate product knowledge.</li>
<li>Conduct regular team huddles to review promotions, safety updates, and new DCC changes.</li>

Retail Operations:

<li>Monitor floor activity, assist in high-volume situations, and ensure smooth checkout and dispensing.</li>
<li>Resolve escalated customer concerns or discrepancies in a professional, compliant manner.</li>
<li>Assist in setting and adjusting floor displays, signage, and pricing to remain within promotional rules.</li>
<li>Track inventory flow, coordinate reorders, and ensure expiration dates and packaging standards meet state compliance.</li>

Reporting &amp; Communication:

<li>Prepare daily sales, discrepancy, and incident reports for review by the General Manager.</li>
<li>Liaise with inspectors, vendors, and state agencies during audits, visits, or inquiries.</li>
<li>Stay up to date with changes to DCC regulations and train staff accordingly.</li>

Required Skills &amp; Abilities:&nbsp;

<li>Must be at least 21 years of age.</li>
<li>High school diploma or equivalent required; associate or bachelor’s degree preferred.</li>
<li>Minimum 2 years in a retail leadership or supervisory role; cannabis experience strongly preferred.</li>
<li>Working knowledge of Ohio’s adult-use cannabis laws (ORC 3780 &amp; OAC 1301:18) or willingness to complete DCC-approved compliance training.</li>
<li>Strong interpersonal, communication, and conflict-resolution skills.</li>
<li>Proficiency in cannabis POS software (e.g., Dutchie, BioTrack, or similar) and Metrc tracking system.</li>
